Provider Onboarding Specialist

Job Summary:
The Provider Onboarding Specialist reports to the Provider Onboarding Manager.
Responsibilities include managing the onboarding process for a high volume of all newly hired physicians, advanced practitioner providers for Wellstar Medical Group, including all new practice acquisition physicians and advanced practitioner providers, agency providers, Augusta University, and all Graduate Medical Education residents and fellows. This position will act as a credentialing liaison between the new provider, recruiters, credentialing department, compensation, operational leaders and locum organizations.
Responsible for the HR process and obtaining all required documents to complete human resources on-boarding.
Required for data workflow in Workday, including entering licenses, certifications, Job 2, request compensation changes, updating personal information, and ensuring accurate data integrity.
Core Responsibilities and Essential Functions:
Managing the HR on-boarding process of all newly hired physicians and advanced practitioners joining the Medical Group, Augusta University, GME Residents and Fellows, this also includes new practice acquisitions providers.
a. Required to monitor Workday which includes entering new employee HR information.
b. Maintain spreadsheet tracking hiring process.
c. Send HR documents, send drug screen instructions, schedule HR appointments, and employee health appointments for all new providers.
d. Request employee badge.
e. Complete I-9 process on all new providers within 3 days of employment per HR Guidelines.
f. Create HR file, prepare for compensation review, ensure all documents are in file, sent to final auditing.
Primary contact for all Wellstar Medical Group employee providers. Responsible for the initiation of the Medical Staff Credentialing Process for all physicians and advanced practitioners hired for the Medical Group, all hospitals, Augusta University, GME Residents and Fellows, including all acquisitions. Distribute the WMG/Credentialing Provider Enrollment Request Form notification to various departments of all new hires, transfers, and status changes.
a. Request Medical Staff applications and track the status of each application to be sure it is returned complete in the allotted time.
b. Assist all WMG providers in completing their credentialing application, which includes pre-filling and reviewing the Wellstar Medical Staff on-line application, answering questions and completing a final review before the submission of application.
c. Utilizing the ECHO database to monitor status and provide updates to the provider, recruiters, practice manager, DPO and leadership. Follow each application credentialing process until taken to the WMG Managed Care Credentials Committee and/or Temporary Privileges have been granted.
d. Work closely with Locum Tenen agencies, monitor the credentialing process until final approval.
e. Manage the onboarding process for all GME residents and fellows and work closely with all GME offices during the process.
f. Schedule and assist new hires with EPIC training.
g. Assist with the onboarding and credentialing process for all Augusta University providers.
Additional duties as assigned - Kronos time keeping for the department, EPIC bi-weekly report, Monitor and distribute the WMG Credentialing/Provider Enrollment Request Form for all existing providers for an additional practice location, location move, and additional hospital privileges requests for al WMG practices.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- High School Diploma General or Associates Other-Preferred or Bachelors Business Administration/Management-Preferred
Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.
Additional License(s) and Certification(s):
Maintain Certified Provider Credentials Specialist certification Upon Hire Preferred
Required Minimum Experience:
Minimum 3 years of medical staff credentialing experience within a hospital setting Required and
Extensive experience will be considered in lieu of a degree.
