Core Responsibilities and Essential Functions

Support the administrative and tactical management of Project Intake from beginning to end through all administrative processes and tools available

  • Oversee the administrative and tactical management of project intake from initiation to completion, utilizing all available tools and processes.
  • Schedule meetings, prepare materials (e.g., reminders, packets), set up equipment, and document meeting minutes.
  • Generate timely scheduled and ad-hoc reports from Revenue Cycle Transformation Project Management systems.
  • Conduct basic analysis of project requests to assess feasibility and scope.
  • Monitor task progress and ensure deadlines are met effectively.
  • Attend management, project team, and customer meetings as required.
  • Support the Revenue Cycle Transformation Project Manager in maintaining communication between operational areas.

Provide timely and accurate administrative support services

  • Facilitate and coordinate meetings and conference calls with operational leaders, hospital administrators, and departmental executives.
  • Develop presentations and dashboards for program reporting to leadership and stakeholders.
  • Maintain regular communication with leaders and team members, providing project updates and serving as a liaison.
  • Assist in creating presentations and other meeting materials.
  • Monitor and respond to department email inbox and discovery queue inquiries.

Deliverable development and procurement

  • Assist in the creation of progress reports, proposals, requirements documentation, and presentations.
  • Capture and publish initiative benefit realization metrics.
  • Generate and distribute regular reports on idea submission processes, volumes, and benefits.
  • Develop key deliverable documents, including draft RFPs, SBARs, OCC documents, job descriptions, policies, procedures, storyboards, and organizational charts.
  • Facilitate policy and procedure creation during discovery processes for deliverables (e.g., contracts, budgets, resource assessments).

Other duties as assigned

  • Support large meetings, leadership teams, and group events as needed.
  • Assist in gathering, editing, and disseminating meeting materials.
  • Manage initiative communications across systems and events.
  • Coordinate events and vendors for town halls and other organizational activities.
