Overview

The Sr Materials Management System Specialist is a proactive member of an interdisciplinary team of licensed and unlicensed care givers who ensure that patients, families and significant others receive individualized high quality, safe patient care. It is expected that all RN Clinical Nurses – are licensed, knowledgeable and uphold the practice of nursing as outlined by the Georgia Professional Nurse Practice Act and implements the Scope of Practice and Code of Ethics Standards put forth by the American Nurses Association.

Job Summary:


Acts as Materials Management System facilitator to ensure all users are trained and understand correct MMIS procedures. Monitor system functions and communicate with appropriate internal or external support personnel to resolve any malfunctions, issues or questions. Manages system support functions i.e., month and year end processing and report generation, system enhancements and upgrades, and critical file maintenance. Key role in running test scripts with any upgrades or software changes to MMIS (MSSS/MSCM) or interfaced software, including WORKDAY, TECSYS and EPIC. Supports Supply Chain staff in day-to-day system operations and training as required.

Core Responsibilities and Essential Functions:


Materials Management Information System Management:

- Coordinates and maintains all files in Lawson ERP system for all Supply Chain modules
- Updates maintains Item Master: additions, deletions, changes as requested by Value Analysis, Clinical Resource and Contracts Management team
- Updates and maintains all interface data from the WORKDAY item file/pars into EPIC
- Maintains Remit and Purchase from Vendor file. Coordinates with Accounts Payable for accuracy
- Maintains location for all WORKDAY Requisition Center Users
- Serves as departmental liaison with WellStar IT department and vendors related to WORKDAY
- Provides WORKDAY training to SC staff as required Special Projects

- Coordinates, takes ownership and proactively completes special projects as requested or directed by Supply Chain leadership
- Reviews DATA MANAGEMENT PLATFORM data on a monthly basis and makes changes appropriately
- Reviews all vendor notifications for product changes and coordinates with appropriate personnel
- Coordinates data interfaces with EPIC and Revenue Management teams
- Oversees WORKDAY MMIS upgrades with Supply Chain leadership System Reporting

- Responsible for the oversight of departmental and organizational WORKDAY ERP Supply Chain reports and queries as required or requested
- Runs bi-Weekly query for WORKDAY Requisition Requesters to compare to HR Termination list
- Runs Monthly Vendor List to check for compliance
- Runs Daily Patient Price List and Monthly Patient Price List for Revenue Management
- Runs Ad-Hoc queries as requested by EPIC and Revenue Management teams
- Provide monthly Stock and Nonstock Receipt information to ECRI
- Provide monthly Receipt information to certain vendors
- Provide monthly Issue information to certain vendors Contract Management
- Create and maintain Suppliers
- Troubleshoots and supports WORKDAY & TECSYS
- Works with Contract team to identify potential system improvements

Communication:

- Reports on task progress and answers targeted questions about progress as requested
- Responsible for providing updates on specific contract or contract portfolios as required
- Serves as the liaison between departments and vendors in relation to contract changes
- Articulates and demonstrates empathy with customers' needs, including timeline and scope
- Ability to anticipate probable customer questions and provides timely answers to unanticipated questions
- Uses daily interactions with others to develop or strengthen internal and external professional relationships
- Informs Supply Chain leadership of potential contractual risks Quality:

Required Minimum Education:


High school diploma Required and
Bachelor's Degree Preferred

Minimum 10 years of MMIS/ERP systems administration; Required

Required Minimum Skills:


Knowledge of medical/surgical products, services and/or vendors utilized in a hospital setting preferred.
Strong negotiation and communication skills.
Working knowledge of automated materials management information systems (MMIS) and or Lawson preferred.
Ability to multi-task and have strong communication skills with assigned departments or service lines.
Ability to accomplish multiple tasks simultaneously and understanding of uses of products in a medical setting.
At times, will be required to exercise independent judgement and discretion.
In-depth knowledge of project management concepts and methodology.
Able to lead and participate in project planning sessions.
Ability to establish project goals, milestones, and procedures.
Able to manage multiple projects with varying levels of complexity.
MS-Office, Access, Excel & Word Required.
Advanced organization skills.
Analytical Skills required.
Strong communication skills, both verbal and written.
