Preboarding Supervisor

Job Summary:


As the Preboarding Team Supervisor, you will oversee a team responsible for managing the pre-employment experience for new hires (internal and external), e.g., executives, employees, contractors, and cohorts. As a Preboarding Team Supervisor, you will play a pivotal role in ensuring that our new hires feel welcomed, informed, and prepared as they transition into their roles within our organization. The primary objective of this role is to ensure a seamless and positive experience for candidates from the time they accept our offer, start with the organization and into their first weeks of employment. This role is responsible for providing the Preboarding Coordinator team with guidance and training, as well as serving as a point of contact for escalated questions and issues. This role requires the highest level of professionalism, service orientation and communication skills as the incumbent will interact with various levels of leadership and stakeholder groups across the system.

Core Responsibilities and Essential Functions:


Team Leadership
- Lead and motivate our team of Preboarding Coordinators to achieve departmental goals and objectives.
- Provide guidance, support, and ongoing training to team members to enhance their skills and performance
- Foster a collaborative and positive work environment that encourages innovation and continuous improvement.
Process Monitoring / Enhancements
- Develop, implement, maintain and continuously monitor efficient preboarding processes and procedures to streamline the candidate experience.
- Coordinate with various departments, including HR, recruitment, and IT, to ensure all pre-employment requirements are met accurately and timely.
- Monitor preboarding metrics and KPIs to evaluate the effectiveness of the process and identify areas for improvement.
New Hire Experience / Engagement
- Serve as the primary point of contact for candidates and hiring leaders during the preboarding phase to address any inquiries or concerns promptly and professionally.
- Make improvement recommendations and lead the implementation of new processes to enhance candidate engagement and satisfaction throughout the pre-employment journey.
Stakeholder Engagement and Customer Service
- Collaborate with cross-functional teams to implement process improvements and technology solutions that optimize efficiency and effectiveness.
- Regularly interact with leaders at various levels, as well as key stakeholder groups to ensure optimal satisfaction and
a world class experience.
Compliance and Documentation
- Ensure compliance with all relevant employment laws, regulations, and company policies throughout the preboarding process.
- Maintain accurate and up-to-date pre-employment documentation and records for all new hires.
- Conduct regular audits to ensure data integrity and confidentiality.
- Ensure all SOPs and other process documentation are consistently monitored and accurately updated to reflect current state.
Performs other duties as assigned

Required Minimum Education:

  • Bachelors Human Resources Management or Bachelors Other

Required Minimum License(s) and Certification(s):


All certifications are required upon hire unless otherwise stated.

    Required Minimum Experience:


    Minimum 3 years Supervisory experience within a Talent Acquisition, Pre/Onboarding or HR Service Center environment. Required and
    Minimum 5 years Experience in Human Resources (Talent Acquisition, Pre/Onboarding, Generalist or other related HR discipline) Required and

    Required Minimum Skills:


    Proven experience in coordinating and leading pre/onboarding activities for a mid-size company. High
    Strong understanding of pre-employment processes, including background checks, drug screenings, Form I-9/eVerify, and other onboarding procedures. High
    Excellent supervisory skills, with the ability to inspire and motivate team members to achieve goals. High
    Exceptional communication and interpersonal skills, with the ability to interact effectively with team members, candidates, employees, contingent workers, and stakeholders at all levels; customer service orientation is a must. High
    Demonstrated problem-solving and critical thinking abilities and a proactive approach to identifying and addressing issues High
    High level of attention to detail and accuracy, with a commitment to compliance and data integrity. High
    Strong interpersonal skills required (i.e. active listening, communicating, teamwork, patience, empathy, being able to assess the temperament of a situation and reaction accordingly, etc.) High
    General knowledge and application of benefit laws and practices. Medium
    Proficiency with an HRIS and other relevant software applications; Experience with Workday and/or ServiceNow is a definite plus. Medium
    Demonstrated experience creating reports, monitoring KPIs, SLAs and reporting out to senior management. High
    Highly proficient with assessing processes and making recommendation for improvement. High
    Exceptional ability in developing and maintaining Standard Operating Procedures and related documents. High
