Job Summary:
The Health Park Coordinator Operations assists the site director, and Health Parks Administration and Development Team, with administrative functions and provides operational support. The position coordinates business processes, complies with policy and procedure and compiles regular reports in an accurate, timely and efficient manner. This role functions as the facility's tenant relations liaison, and assists with team and guest satisfaction activities. The coordinator schedules usage of the facility's community education and wellness center, conference rooms and employee fitness center, as well as assisting with special events. Also provides operational support for future facilities in the South Region.
This position is responsible for confidential and time sensitive material and may handle a wide range of operational and a personnel projects including staff meetings, personnel communications and building safety.
Core Responsibilities and Essential Functions:
Operations Coordinator.
* Provides site director and Health Parks Administration and Development Team with executive support as required to perform role. Includes but not limited to: establishing and maintaining office and personnel files, managing business calendar, meetings, records organization, expenses and meeting preparations and coordination.
* Manages office supplies and troubleshooting office equipment, IT and telecommunications issues/repairs.
* Responsible for all confidential records pertaining to HR for administration employees.
* Manages documents necessary for health park facility and business contracts, leases and incident reporting.
* Generates ideas, interprets policies and procedures, and edits documents.
* Manages health park tenant and medical practice phone and email, internal communications lists, and lobby directory.
* Coordinates health park VIP visits, tours, and meetings. At all times, provides a favorable image of WellStar.
* Assists with coordination of special events as needed.
* Assists director and Health Parks Administration and Development Team with coordination of design team meetings and events related to present and future Health Parks facilities in the South Region.
* Completes works independently. Able to re-prioritize assignments as necessary.
Provides Employee and Team Performance/Communications Support
* Responsible for health park lobby directory updates, maintenance and procedures.
* Health park administration liaison to practice managers, medical staff and physicians.
* Explains HR processes to administration team, coordinates training and new AHP employee on boarding.
* Prepares agenda and facilitates administration team meetings. Coordinates practice manager facility leadership meetings.
* Provides oversight to guest relations and community events as needed.
* Provides building services (facility and EVS) support and coordination during business hours as needed.
* Pulls the team together, gets assignments done, and provides input about what works for team success.
* Offers assistance even when not asked and seeks way to help new employees to learn their job.
Assists in Business Management Processes.
* Responsible for the department purchase order/invoice/expense report processes.
* Coordinates vendors and provides VendorMate Program assistance.
* Responsible for Kronos, timekeeping & payroll oversight.
* Generates operations reports including weekly volume reports and monthly business results presentations.
* Participates in the annual budget process and monthly income statement reviews including assembling department information, coordinating budget data input and meetings and submission in a timely manner.
* Provides input and maintains business knowledge required to do the job including procedures, systems, equipment and Microsoft Office software. Has working familiarization with WellStar business software applications: StratJazz, Lawson, Kronos payroll, Office Max supplies.
Community and Wellness Center and Employee Fitness Center Oversight.
* Responsible for facilitys community and conference rooms; reservations; room setup & maintenance coordination; A/V, meeting equipment and supplies needs.
* Sets and interprets room policy and procedures.
* Generates community and wellness center utilization reports
Maintain Regulatory Compliances, Environmental Safety
* Performs random rounding and offers input regarding opportunities for improvement as needed.
* Work area is clean and organized; area is free of spills and debris. Keyboards and telephones are wiped with alcohol swatch at the beginning of day.
* Supports record keeping related to building emergency preparedness, safety and facility compliancy.
Performs other duties as assigned

Required Minimum Education:
Minimum 2 years college Required or
equivalent work experience. Required
Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.
Additional License(s) and Certification(s):
Required Minimum Experience:
Minimum 5 years healthcare or business experience with two years experience as an administrative assistant or executive secretary. Required and
Budget and property management experience Preferred and
Heavy computer experience required with extremely strong skills in Word, Excel and Power Point. Required
Required Minimum Skills:
Ability to interface with senior leaders, physicians and staff from a service excellence perspective.
Must have an understanding of today's changing healthcare industry.
Very strong customer satisfaction and organizational and communication skills, both written and verbal.
