Job Summary:

The Board Relations Manager supports the Office of Board Relations and assists with management of Wellstar's Regional Boards and related activities. The Board Relations Manager also provides project support to the Chief Executive Officer, Chief of Staff and Vice President of Leadership Development, and Assistant Vice President of Board Relations. This includes managing and coordinating a variety of system-wide and/or department projects and initiatives, developing communications, performing a variety of administrative, programmatic, and logistical functions including development of reports, schedules, collection and management of data for projects and work in progress. Develops office procedures to ensure efficient and timely operations.
This individual must hold a strong commitment to the success of Wellstar Health System with an ability to navigate relationships within Wellstar, but also the business associations, and the community at large.
All support is performed with expert professionalism, ethical behavior and the highest regard for confidentiality. This individual acts as a representative for the Office of Board Relations and Office of the President and CEO and serves as a process expert, point of contact and coordinator. The individual should demonstrate a strong communication skills and knowledge of Wellstar Health System policies and procedures.

Core Responsibilities and Essential Functions:

- Office of Board Relations Support and Planning

a.Coordinate Regional Health Board meetings and activities under the direction of the Assistant Vice President of Board Relations.

b.Maintain governance records including meeting minutes and files.

c.Assist with the creation, production and editing of written materials and presentations.

d.Attends Regional Health Board meetings and maintains records and produces records in a timely manner and in accordance with the by-laws and format and style preferred.

e.Refers all board members requests to appropriate staff and assures timely response through follow-up and tracking systems.

f.Maintains the Regional Board files, determining the best system for quick recovery and response to any public request for documents consistent with Sunshine Laws (Open Meetings/Open Records Act) and other government public notice and access requirements, as appropriate.

g.Under direction of the Assistant Vice President of Board Relations partnering with key staff and departments manages seamless meeting production planning and ongoing coordination, including working with the hospital presidents, Vice President of Strategic Community Development, Vice President of Population Health, Vice President of Government Relations and the Vice President of Foundation Strategy.

h.Maintains and tracks lines of communication between board members, advisory members and staff to ensure queries are addressed in a timely manner. i.Notifies and tracks attendance of appropriate members at upcoming board meetings and events.

j.Coordinates with the SVP and Wellstar Foundation President and Assistant Vice President on the alignment of Regional Boards with Wellstars Community Advocacy and Engagement Committee and Wellstar Board of Trustees. k.Partners with Board Coordinators to ensure alignment and coordination of governance-related materials and approvals.

- Administrative Support and Planning

a.Provides the Chief of Staff and Vice President of Leadership Development, and Assistant Vice President of Board Relations leverage in moving projects forward by assisting with information gathering, communicating with different parties, developing and monitoring plans, keeping track of responsibilities, and so on.

b.Managing the CEO support team workflows and priorities by anticipating steps ahead.

c.Researches and prepares background and support information for CEO meetings, speeches and presentations (internal and external), as appropriate. Preparing for and following up on internal and external meetings.

d.Proactively identifying ways to improve the efficiency and efficacy of the Office of Board Relations and Office of the President and CEO and support team processes by anticipating needs and identifying opportunities to develop processes and systems to streamline office flow.

e.Work as part of a team and/or take the lead in coordinating and planning organizational and joint collaborative meetings, communications, conferences and events.

f.Manages the System Master Calendar and coordinates with key stakeholders to strategically align priorities.

- Project Management

a.Responsible for the management, execution and completion of projects and initiatives at the request of the Chief of Staff and Vice President of Leadership Development and Assistant Vice President of Board Relations.

b.Develops work plans to accomplish project/initiative goals and objectives and monitors progress toward their achievement. Conducts research and gathers information.

c.Plans and coordinates administrative procedures and systems and devise ways to streamline processes.

d.Prioritizing and managing multiple projects simultaneously and following through on issues in a timely manner.

e.Provides support for all Officer Executive retreats at the direction and guidance of the Chief of Staff and Vice President of Leadership Development


Required Minimum Education:

Bachelor's Degree Required
Master's Degree MBA, MHA Preferred

    Required Minimum Experience:

    Minimum 3 years in a project coordination role Required and
    Proven ability to influence the efforts of others, even when not in a direct report relationship. Required
