Job Summary:

The Chart Completion Supervisor is responsible for overseeing the completion of patient charts in a healthcare and clinic setting. This includes ensuring that all necessary documentation is accurately completed and filed in a timely manner. The supervisor will also be tasked with organizing and maintaining the chart completion process, implementing quality control measures, and training staff members on proper chart completion procedures. Additionally, the supervisor will work closely with healthcare providers and administrative staff to ensure compliance with regulatory requirements and standards.

Core Responsibilities and Essential Functions:

Supervises team members and the work related to the chart completion for WHS (Hospital and Clinics) * Supervises the chart completion staff by conducting analysis of patient records for accuracy, errors, and deficiencies. * Assign deficiencies in the electronic medical record for physician completeness. * Work collaboratively with other stakeholders (ROI, CDI, Medical Staff) to ensure a complete and accurate record is available for patient care continuity. * Resolve and correct errors within EPIC Work queues * Manage and monitor chart completion work queues. * Work with Medical staff to coordinate physician separation to ensure all deficiencies are complete before separation. * Assist with medical record audit requests from other departments, such as risk, compliance, and medical staff. * Establish and implement quality control measures to ensure the accuracy and completeness of charts * Conduct audits and reviews to identify areas for improvement Monitor and address any quality issues or concerns Training and Education * Update Tip sheets and Standard Operating Procedures for team members * Create demos and Visio to display workflows for manager and team members * Assist with the competency of team members and change management of processes Accreditation, Regulatory and Privacy * Responsible for ensuring compliance with HIM related Joint Commission and CMS standards by working with other hospital departments, providers, and system-level leaders. * Maintains knowledge and keeps current with state and federal regulations (i.e. HIPAA, Dept. of Health, JC, CMS, etc.) Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.

Required Minimum Education:

  • Associates Health Administration or High School Diploma General

Required Minimum License(s) and Certification(s):

All certifications are required upon hire unless otherwise stated.
  • RHIT - Reg Health Information Tech-Preferred

Additional License(s) and Certification(s):

A high school diploma and 5 years experience in this Wellstar job (HIM Supervisor) prior to 2/28/2023 is accepted in lieu of an Associates Degree Preferred

Required Minimum Experience:

Minimum 2 years related work experience in a hospital or healthcare system Required and EMR Experience preferable EPIC Preferred

Ability to work independently and without direct supervision. High Excellent verbal/written communication. High Problem solving skills and ability to prioritize and organize work activities appropriately in a fast-paced environment. High Analytical skills with ability to use data to identify trends, execute process improvement, and report key performance indicators. High Knowledge of Joint Commission standards, state and federal laws and regulations relative to the confidentiality and security of patient information, and medical record documentation requirements.
