Job Summary:
Responsible for maintaining daily administrative tasks of the Wellstar Genetics Department including phone coverage, scheduling, medical records requests, and billing inquiries. The staff member with ensure the day to day operations of the department run smoothly and patients receive an excellent experience. Staff member will have access to confidential genetics department documentation. They will work with the team to grant access to outside providers, payors, and patients as appropriate.Core Responsibilities and Essential Functions:
Promptly answering phone calls made to the genetic scheduling line for scheduling. Scheduling includes: Triaging the nature of the appointment (cancer, cardiac, prenatal, neuro, etc.) Collecting a brief family history Assigning the correct genetic counselor and satellite location/virtual appointment Assigning referral from workqueue if one exists. Collecting demographics, insurance, and referring provider information. Send virtual patients confirmation emails and links for virtual appointments. Email patients links for family history collection. Answers the department's main phone line and serves as a backup for genetic counseling assistant phone lines. Answers phone calls from physician's offices. Answers calls regarding virtual visits. Responsible for routing telephone calls from patients, physicians, or other healthcare providers/facilities appropriately. Checks voicemail hourly. * Manage confidential genetics department medical records stored in EPIC/Onbase * Responds to confidential medical records request via phone, fax, and emails. * Scan all required records into the EMR. * Mail and scan patient letters. Check in and out in-person patients and virtual patients. Scan ID and insurance cards Room patients Schedule follow-up appointments for in-person/virtual patients. Schedules laboratory appointments for blood draws Recontact and reschedule patients who are no-shows/cancel via reminders or Mychart. Creates weekly reports for cancellations and no-shows. Calls patients if no answer leaves messages and documents calls in patient's chart. Manages the phone line for billing inquiries. Answer calls for billing inquiries. Investigates charges and relays information. Provider Template building and managing provider PTO requests via Epic and Outlook. Schedule meetings with laboratory reps Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.Required Minimum Education:
- High School Diploma General or GED General or Associates Health Science-Preferred or Bachelors Health Science-Preferred

Required Minimum Experience:
Minimum 3 years in a healthcare setting with experience in scheduling and medical terminology. RequiredRequired Minimum Skills:
Strong customer service skills, good communication and organizational skills. Basic typing and data entry experience. The individual must be able to communicate and understand verbal and written English language and display a positive attitude (see WellStars Standards of Gold and Values). This position requires a high level of attention to detail and a low error rate, as the consequences of even a minor mistake can be significant for patients and providers.
