Facility: Spalding Medical Center

Job Summary:

The Director of Facilities is responsible for management and/or oversight leadership of all Facilities/Maintenance, and Communication departmental functions to meet the facility and corporate mission, vision and goals for Spalding Medical Center & Sylvan Grove Medical Center locations. In each of the departments, the Director identifies cost effective systems needed to support the business of the department, taking into account business trends, resource availability, and changes in customer's needs and demands. This position will develop, lead, and manage effective working relationships with all constituencies, including patients, physicians, employees, volunteers and vendors as well as ensure their staff members align with the standards for excellent in quality and service. The Director identifies and remedies operational concerns while continuously searching for performance improvement in operations and standards of care. As the facilities safety officer, this position will ensures that the hospital and department comply with Joint Commission, federal, state and local requirements. Upon identification of any variances to best practices the Director will lead sustainable change practices and validate ongoing results.

This position also provides an environment of care conducive to safe high-quality healthcare as well as partners with the Emergency Preparedness manager for operational preparedness and excellence in all operating situations. The communications department will also report to this leader for operational service levels, staffing, capital and policy and procedure development and execution. These goals are accomplished through data and employee engagement while providing continuous customer satisfaction.


The role is responsible for the safe, efficient, effective and economical operation of both physical plant and all of the equipment within, both fixed and portable, as well as the grounds surrounding the facility. They are responsible for Environment of Care, Life Safety and Emergency Operation Plans. The Director serves as the Hospital's Safety Officer.

Core Responsibilities and Essential Functions:

Operational Oversight/Project Management:
- Acting as the hospital’s representative, works with project managers to ensure all technical aspects for the projects are met and from system perspective assuring the goals and directives of administration are met.
- Provide technical support in the development of projects
- Provide oversight for plant / renovation / finish upgrades projects
- On-Site project management for improvements
- Manages and develops the facilities space and master plan.
- Work closely with System Facilities Engineering team, COO and President for regular project updates, up-to-date master planning and updated Hospital Interior and Exterior master plan.
- Develops standards for design criteria, material selection, and space and equipment specifications
- Chairman of the Environment of Care Committee who ensure the activity of the EOC committee are effectively coordinated from the perspective of assessment, management, implementation, monitoring, analysis and program improvement
- Safety Officer for the Facility who manages environmental risks and intervenes when situations threaten people or property
- Keeps employees informed on all departmental, hospital-wide changes, activities or conditions which affect them personally or through supervisory staff. 30% Quality/Safety/Service
- Participates in the overall hospital Performance Improvement Program for each service area.
- Plans and implements corrective action and follow-up timely.
- Supervises performance improvement activities for each service area.
- Addresses identified safety needs of the patients to ensure a safe environment.
- Initiates problem solving of clinical safety issues as they occur by utilizing appropriate resources and personnel.
- Works closely with the medical staff to ensure safe program needs are being met.
- Guides staff in understanding and implementing programmatic changes.
- Monitors level of patient satisfaction and addresses issues of patient dissatisfaction in a timely and professional manner.
- Works with supervisors and appropriate staff to ensure that all equipment is in good working order and supply levels are adequately maintained.
- Monitors staff and physical plant to ensure a professional and safe environment.
- Maintains compliance with TJC, OSHA, CMS and all other appropriate standards or agencies and is continuously survey ready.
- Completes timely inspection of all equipment as outlined by regulations.
- Cultivates an environment for staff to proactively voice concerns about patient safety.
- Schedule daily preventive maintenance program and provide technical assistance when needed.
- Complete preventive maintenance documentation daily.
- Completion of unscheduled breakdowns daily.
- Maintain weekly inventory supply levels in departments. 20% Cost/Growth
- Plans, develops and coordinates yearly budgets for each service areas.
- Capital Planning and implementation
- Monitors budgets monthly to achieve budgeted targets in each service area.
- Works with senior management, finance, marketing, and other appropriate staff to analyze current market position and develop strategies for short and long term growth.
- Develops quarterly and yearly objectives in conjunction with senior management. Works with Senior Management to support hospital wide goals.
- Continuously revises and updates goals to meet newly identified needs of the unit/department.
- Ensures decision making is data based.
- Oversees the evaluation of vendor products and services for appropriateness.
- Reviews and submits bi-weekly payroll timely and accurately.
- Ongoing evaluates opportunities for cost savings to support strategic performance initiative (SPI).
- Utilizes Hospital’s resources responsibly. 20% Leadership Effectiveness

- Assumes all other duties and responsibilities as necessary and assigned. 10% Safety Officer
- Develops implements and monitors hospital and safety management programs based on evaluation of organizational expertise, applicable law, regulators, and accepted practice.
- Ensures that the hospital and department comply with Joint Commission, federal, state and local requirements
- Serves as Safety Officer responsible for directing the ongoing organization-wide process to collect information and deficiencies and opportunities for improvement in environment of care management programs.
- Maintains up to date knowledge of life safety regulations via continuing education annually.
- Prepares and submits annual management reports / life safety plans / policies and procedures for hospital administration and outside regulatory agencies.
- Consults with staff on a wide variety of safety issues, policies and concerns including waste management and hazardous material control.
- Implements with appropriate staff, safety recommendations, and monitors the effectiveness of the recommendations.
- Develop implements and monitors the safety and training programs for the Facilities Department.
- Develops and conducts formal training programs for the hospital and the department covering a variety of areas associated with staff safety, facility environment, disaster preparedness, emergency preparedness and new programs or regulations.
- Performs internal safety inspections, investigates safety concerns and takes corrective action
- Oversees and ensures compliance with certification aspects associated with OSHA, and other regulatory agencies not met by other departmental positions.
- May serve as a resource to departments in developing safe working habits and maintaining a safe working environment.
- Attend safety committee meetings monthly.
- Follow-up on recommendations pertaining to Engineering / Security within one month. 20%

Required Minimum Education:

Bachelor's Degree Preferred and
Degree preferred in Space Planning, Master Planning, Architecture or Engineering Preferred

Required Minimum Experience:

Minimum 10 years total related experience including five (5) years of leadership experience with at least two years of direct supervisory and management experience Required and
Minimum 5 years healthcare experience required. Experience with Master Planning Preferred

Thorough understanding of the financial, legal, risk management and healthcare industry aspects of planning, design and renovation.
